Online Booking for Nail Techs: Run Your Schedule, Not Your Phone

"Are you free Thursday?" "What time?" "How about 3?" "Let me check and get back to you."
If that conversation sounds familiar, you're running your nail business from your messages.
Every booking takes six texts, and some get lost between clients. Online booking for nail techs fixes that. Clients see what's open, pick their service, and get a confirmation without waiting on you. In this post, I'll walk you through how I set up booking and automation at Harmony Nail Studio, in the order that actually works, so your schedule stops running you.
Why manual booking costs more than time
Booking by text feels personal. In practice, it pulls you out of the service you're doing to answer the next client. It means replying at night. And it means lost bookings, because a message you meant to answer later gets buried.
The bigger cost is invisible. When your attention is split, the client in your chair feels it. My clients describe their appointment as their therapy session. That experience starts long before they sit down, with how easy it was to book.
Decide how you want to work before you pick an app
This is the step most nail techs skip. A booking app can only run the business you tell it to run. If you haven't decided your hours, your services, or your policy, the app will just make the confusion faster.
Before you open any platform, write down:
Your hours. The days and times you'll actually work, including when you're closed.
Your service menu. Each service, its real duration, and its price. Use how long a service actually takes you, not how long you wish it took.
Your policy. How much notice you need for cancellations, what happens when a client is late, and whether you take deposits.
Think of it like prepping a nail before polish. Skip the prep and the colour lifts, no matter how good the product is.
How to set up online booking for your nail business
Once your decisions are on paper, setup is the easy part. I use Fresha, which is built for beauty professionals. Square Appointments and Acuity Scheduling are solid alternatives. Pricing on these platforms changes, so compare current plans and fees before you commit. The steps are the same on any platform.
Add your hours. Enter your working days and times, and block off the days you're closed.
Add your services with real durations. If a gel set takes you 75 minutes, list it as 75 minutes. Add a short buffer between appointments for cleanup and sanitizing.
Set how far ahead clients can book. I open my calendar 14 days ahead. It keeps the schedule full without locking me into dates I haven't planned yet.
Add your policy to the booking page. Clients should see your cancellation and late policy before they confirm, not after.
Test it yourself. Book a test appointment, or ask a friend to. Check that the confirmation arrives, the reminder sends, and the cancellation link works.
You can see how I've set mine up on my booking and FAQ page.
The appointment reminders and automations every nail tech should turn on
Automation is the top coat. It seals everything underneath, so only add it once the booking system is working. These are the ones that pay off fastest:
Booking confirmation. Sent the moment a client books, so nobody wonders whether it went through.
Appointment reminder. Sent 24 hours before. This alone cuts no-shows noticeably.
Recurring appointments. Regular clients get a standing appointment that repeats automatically, for example every three weeks on the same day and time. Nobody spends time after the appointment hunting for the next open spot.
Waitlist. When the calendar is full, clients join the waitlist and are notified automatically when a spot opens.
After-hours auto-reply. On WhatsApp Business, an away message with your hours and booking link. Clients get an answer, and you get your evening back.
Holiday blocks. Block holidays and vacation days in advance so nobody books a day you're closed.
This is how my own book runs. My regular clients have recurring appointments, so their next visit is already on the calendar before they walk out the door, and neither of us spends extra time finding a spot. Everyone else books themselves online or joins the waitlist. My time goes to the client in my chair, not to my calendar.
How to move your existing clients to online booking
Your regulars are used to texting you, so tell them before you switch. Send a short, warm message to everyone on your client list:
I'm making some changes to serve you better. I've moved to online booking, so you can schedule, reschedule, or cancel at any time. You'll get a confirmation and a reminder before every visit. Book here: [your booking link]
Send a friendly follow-up a few days later for anyone who missed it. For a few weeks, some clients will still text. Reply kindly with the link every time. Within a month, most will book on their own.
Systems are how you protect the life behind the business
Being a nail tech is more than doing nails. Your business pays for your home, supports your family, and covers insurance, savings, and your future. It can't depend on you answering texts at 10pm.
Get the order right: decide how you want to work, build your booking system around those decisions, then automate. That's how you stay personal with clients while running your schedule, instead of your phone running you.
If you want the exact steps I followed, day by day, they're in The Nail Technician's Business Planner. It walks you through setting up your hours, services, policy, booking, and automations over three weeks, with the client messages and policy templates already written.
